Import Outlook contacts to BCM contacts/account
by SmFtaWU » Wed, 22 Mar 2006 03:34:30 GMT
Hi. My office recently installed the BCM 2003 to our Outlook 2003. We have
several hundred contacts already in Outlook, but for some reason I'm having
difficulty copying them to the BCM contacts.
I'd also like to create accountsin the BCM using the contacts already in the
system.
I tried exporting the Outlook contacts to a Personal Folder File (.pst) on
my desktop. However, the BCM fails to import it, because it says it does not
list Outlook Contacts at all as one of the importable files. I can't even
browse and select it from my desktop. It simply does not show up.
Please save me from having to retype the hundreds of Outlook contacts into
my Business Contact manager contacts/accounts.

Hi Jamie
You should be able to drag/drop Outlook Contacts directly into Business
Contacts (or Accounts) in BCM. You can also highlight the desired accounts
and go to Edit > Copy (or Move) and then point to BCM as the destination
You can also export your Contacts to an Excel or TXT/CSV file and import
those files directly into BCM
Hope this helps!

Larry,
If I have a listing saved in all 3 places: Contacts, BCM Contacts, and BCM
Accounts, will making a change in one automatically update the other 2?

Outlook contacts and BCM contacts are independant of each other and changing
the Outlook contact will not alter the same Business Contact or Account

1.Need to Link multiple imported Contacts to Accounts in Outlook BCM
I posted this in the Microsoft Small Business Specialist Newsgroup and they
informed me to post this here. Please direct me to the proper Newsgroup if
this isn't the proper place for this question.
I have a client who keeps all their contacts on an Excel Spreadsheet. The
spreadsheet has columns for Company Name, Address, ZIP, First Name, Last Name.
They imported the Company Names, Address, and ZIP from the spreadsheet into
the BCM Accounts. They also imported the First Names and Last Names in to
the BCM Business Contacts.
The problem is they have about 5000 Business Contacts that need to be Linked
to their specific Accounts. I had hoped that I could Select Business
Contacts and then click the Link to Record button on the toolbar but the
button is grayed out. I noticed it only appears when highlighting Tasks or
Opportunities.
The Microsoft Outlook team suggested this: "With 5000 records it may be
worth it to export the spreadsheet to CSV and
then write a script (or something similar) to convert the CSV into a BCM
XML file. The XML would contain a link to each contact's parent account."
Please help me obtain a solution for this so my client doesn't have to Link
each Business Contact one at a time to the corresponding Account.
It's hard to believe that Microsoft didn't consider this type of scenario
when developing BCM. I'm sure there are many businesses that are currently
using ACT or Goldmine and have thousands of Contacts they would have to
import into BCM if thery were to use BCM, otherwise users would take months
just linking BCM Contacts to BCM Accounts.
Thank you.
