New to Outlook - Multiple Contacts files ?

Postby mrshine » Sat, 07 Nov 2009 23:10:30 GMT

Hi,

I'm brand new to Outlook.
I've been using Outlook Express for my email for quite a few years, and
a Day-Timer Organizer pgm for basic calendar stuff.
I just started a sales job a couple of days a week - I'd like to keep
my sales contacts in Outlook and Synch them to my BlackBerry (which I
also just got 2 weeks ago - a lot to learn there also...).
I'd like to also move my Outlook Express contacts to Outlook, but keep
the personal and business stuff separate.
I guess I should stop using Outlook Express, and move to Outlook to
take advantages of its features.
Is there a fairly easy way to keep the personal & business stuff
separate ?
Thanks in advance for any help.
Rich

Sure. You need multiple pst files and rules to move personal mail to the
personal PST. You can make Contacts folders for your personal contacts.

File, New, Outlook Data file to add a new pst.
File, New, folder to add a new folder.

Use separate mail profiles, one for work and one for personal.

Please excuse me for jumping in here (I am new to this so,let me know if
this is improper protocol), but I have a similar issue; although for
different purposes. I, too, would like either separate pst file or
additiona; Contact list but I would like to somehow link? them to each other
so that when I update a contact in one list; it will update the same contact
in another list? Is this possible.

Actually, in my case, I want a group of Contacts to export to my BlackBerry
without exporting ALL my Contacts. I have made a Contact group for my
BlackBerry but it is cumbersome when making a change to a Contact. With my
limited knowledge, it seems to me that if I change, say a phone number in
Contact group A, I would also have to update it manually in Contact group B.
Somehow linking the two would be handy. Any thoughts?

Thanks, Ken

1."New message to contact" for contact with multiple email addresses

In Outlook 2003, if you go to a contact and use "Actions | New Message to
Contact", and the contact has multiple email addresses defined, it puts ALL
of the email addresses in the To: line and thus sends multiple copies of the
email. Is there a way to have just one address inserted? I guess one would
have to be defined as the default somehow.

2.New article on OE multiple addresses, multiple Identities and multiple User Accounts

3.Multiple Contacts files defaulting to incorrect file when using TO:

Specs - XP-SP2, Outlook 2002, SP3

Hi,

My Outlook install which seems to be working fine in all respects except
when creating a new email using the TO: option. On my Outlook desktop in
the left panel (Outlook shortcuts) I have a Contacts icon which opens fine
and shows all of my contacts. The problem arises when I click new to create
an email. The blank email page opens, I can type in an address and send an
email without a problem. If I choose to use the TO: option I get an error
message saying "The address list could not be displayed. The COntacts
folder associated with this address list could not be opened; it may have
been moved or deleted...." At this point I click OK and the Select names
window opens as is normal and there are no names showing. The top field
Show Names from the: displays Contacts. The dropdown menu shows Outlook
address book, Contacts and a second Contacts file. Selecting Outlook Address
Book yields no entries, the first Contacts option gives no entries but the
second Contacts option shows the entries found when I click on Contacts in
the left pane shortcuts window.

With all this being said what I would like to do is:

A) Find out what the Address Book option links to.
B) How to I get rid of the first Contacts entry?
C) How do I set the second Contacts folder to be the default folder for the
TO: option when creating a new email?

Thanks for all the help.

4.Delete duplicate contacts, resolve multiple contact files

I have over 4000 contacts in Outlook. I've recently had to move my PST file
back to an older computer because my new computer failed. There is only one
user, me. But somehow, there are multiple contact files associated with the
Outook program. When Outlook cannot find a contact (always when I start a
new message since the mvoe) it gives me the option of selecting another
contacts folder. Most are named "contact." Yet, when I click on contacts,
all my contacts are there, in duplicate (over 8000)...EXCEPT the new contacts
I've entered and contacts I've updated since moving back to the old computer.
I have searched for help online, but it produced 0 results. I think one
problem is that I moved my PST file for easier back-up. If anyone can help
me with this, please email me at XXXX@XXXXX.COM . Thanks!

5.Change Contacts File As format in multiple contacts

I imported multiple addresses into myContacts folder. The display of "File
as" is like "LnameFname", although by default it should be "Lname,Fname". How
can I add comma in between?

Thanks,

JZ
