Using MAILMERGE fields within HYPERLINK fields for Merge to Email
by TWFyayBW » Sat, 04 Dec 2004 15:09:01 GMT
It appears that MAILMERGE fields within HYPERLINK fields are not updated like
MAILMERGE fields used elsewhere in a mail merge document as the merge is
being performed. Is this correct?
For instance, using the statement below within a document for Merge to Email
should, in theory, insert the value of the PONumber field for each record of
the data source into the mailto: hyperlink. If the HYPERLINK field is
manually updated using F9, the MERGEFIELD value is updated, the PONumber
value for the current record is incorporated into the hyperlink and the
hyperlink functions as expected, however, the MERGEFIELD value is not updated
when the Merge to Email sequences through each record.
{HYPERLINK "mailto: XXXX@XXXXX.COM ?subject=PO%20{MERGEFIELD
"PONumber"}%20Already%20Paid" \o "Click here to send an email if you've
already paid"}
Is there a way to ensure that the MERGEFIELD within the HYPERLINK statement
is automatically updated when the Merge to Email sequences through the data
source records?
Thanks, Mark V

Sorry, failed to mention below that I'm running Word 2003 (11.5604.5703) and
Outlook 2003 (11.5608.5703) from Microsoft Office Professional Edition 2003
on Windows XP Professional, SP1.

Hi =?Utf-8?B?TWFyayBW?=,
The mail merge field embedded in the Hyperlink field does update. What does NOT
change is the display text for the Hyperlink field. The only way I've ever found
to get this to work is:
- set up the mail merge with everything except the hyperlink and test
- when you're all set, create the Hyperlink field but do NOT force a manual
update and do NOT toggle back to field results. Merge directly to a new
document.
- Ctrl+A, F9 to update the fields. The display text will be the hyperlink
path (there's no way to change this)
Now, since you want to send emails, you'll need to pull the result document
apart and email it, section by section. You'll find macro code for this on
word.mvps.org by Doug Robbins.

3.Mail Merge - Fields missing within "insert merge field" tab
I have an Excel database, with approx 130 data columns, which I use with mail
merge in word for a variety of documents letters, etc to send to customers.
Until last week, this worked with no problem whatsoever, then last week, I
started getting a message that the "DDE connection could not be re-
established", meaning that I couldn't open my word files. I've managed to
find the work around for this on Microsoft's site, by choosing the convertor
method of opening the excel file rather than DDE but now find that a lot of
the merge fields don't work.
When I check in the "insert merge field" tab, the first 59 data fields are
listed, the next four appear together as one field and then there is no
mention of the rest. Can anybody advise please? I am not very good with
computers, so if any explanations could assume I know nothing and take me
through step by step, that would be great!
I have Windows XP Home SP2 2002 version and am using Word & Excel 97.
Many thanks in anticipation!
4.Missing Date Field in Email Message when merged to electronic mail form Word Mailmerge
Hello,
When we use Outlook Express normally it sends a date with the message.
When we mail merge to electronic mail from Word it DOES NOT send a
date with the message.
Subsequently a lot of the messages fail to arrive.
We have tried this on four machines, two operating systems W98 and XP.
Three different versions of OE and from three different locations
through three ISP's .It still does it on each.
How can we make sure OE sends a date with the message when used as a
mail merge client with Word. ?

5.Fields within fields that cross-ref to other fields and do not upd
I have a 'parent' document document with several 'children' and the 'parent'
will eventually be placed in a 'parent' of its own, a 'grandparent' so to
speak. The problem is that one of the cross-references in the child to a
caption will not update.
The caption is formatted as "Figure {Heading1 #}-{Figure #}: text" and no
Heading1 is available in the child, producing an error:"Figure Error! No text
of specified style in document." at both the cross-ref and the caption.
When viewed in the parent, the caption updates to display the Heading1
number it is placed under, but the cross-reference keeps displaying the error.
